FOOD VENDORS


Want to be a food vendor at any of Northern California Festivals, LLC, events?  Please feel free to contact us and learn more about the opportunities available.  Below is a basic outline of requirements.  Each event has their own additional requirements.  

Vendor Requirements, Rules, and Guidelines

REQUIRED ITEMS FOR ACCEPTANCE INTO EVENT
  • Submit a completed Food Vendor Application and Payment
  • A completed Health Department Application
VENDOR RULES AND GUIDELINES
Vendor Application fees are nonrefundable except if the vendor’s application is not approved.
Submission of the Vendor Application does not guarantee acceptance for the event.  Vendor selection will be based on menu, completion of paperwork, and payment.  Northern California Festivals' staff reserve the right to limit the number of vendors in all categories.  Application fees will be refunded to any vendor not approved.  All vendors must complete a Health Department Application.

BOOTH REQUIREMENTS
  • Exclusivity is NOT guaranteed to ANY vendor.
  • Booth space is NOT reserved until payment is received.
  • Booth spaces are randomly assigned.  Vendor locations are NOT negotiable.
  • Vendors are responsible for setup and teardown of all signage, tents, tables, and equipment (except furnishings provided by Northern California Festivals.)  You may use only your assigned space.
  • Vehicles are only allowed on the event site for setup prior to the event and for tear-down after the event closes.  You will be notified when it is safe to bring your vehicle onto the event site.  All vendors will receive a confirmation letter regarding load in and load out times.
  • In an effort to protect your space and effectively maintain its cleanliness of the event, any vendor not staffing their booth for the duration of the event will be required to close their booth. Vendors not adhering to this policy will be fined $75.
LOAD IN/LOAD OUT INFORMATION
  • Food Vendors may unload and setup only on the morning of the event, usually beginning at 8 a.m. and not later than 9:30 a.m. and all food vendors must be ready for Health Department inspection usually around 9 or 10 a.m.  Food vendors will NOT be allowed in after 10:00 a.m.  No exceptions.
  • All vendors must be ready for business at the start of the event.
  • Load out for the event can begin no sooner than one hour before the end of the event.

GENERAL
All Northern California Festivals event participants and their employees are expected to serve as positive representatives of the community and at no time should engage in illegal activities.  Any vendor found in violation of these rules can be fined and immediately removed from the festival and banned from future events.

Northern California Festivals, employees, co-hosts related festival providers and participating sponsors will NOT be responsible for any injury, loss, or damage that may occur to the vendor, its employees or property prior to, during or subsequent to the period covered by the vending contract.  The vendor signing this contract expressly releases all of the aforementioned from any and all claims from such loss, damage, or injury.

Northern California Festivals and co-hosts are grateful for the support of our sponsors.  All vendors are expected to work with our sponsors and follow contract specifications when applicable.  This event will be photographed and videotaped.  By participating in this event, you hereby consent to the use of your likeness or image in those photographs or video for future promotion consideration by Northern California Festivals.

MOST ASKED QUESTIONS:
What do I get for that money?
You get a 10‘x10’ or 10’x20’ area and an opportunity to sell to all event attendees.

Can I keep a vehicle at my booth?
No, unless it is a cooking accessory or a food truck.

Can I sell food other than what is listed on my application?
Yes, BUT, we encourage the sale of food relevant to the festival you are participating in.

How much should I prep for?
Use your best judgment, we estimate 3,500 attendees average per event.

Are hand-washing stations provided?
No. Please refer to the Health Department Application.

Are plates or utensils provided?
No. You must provide disposable plates, napkins and utensils as needed. Remember, it’s an outdoor festival, so napkins, foil, and paper towel could act as a plate.

Do I need a health permit?
Yes, Northern California Festivals will submit your completed Health Department application on your behalf and your booth will be inspected.  Licensed Food Trucks need to have their permits already.

Will the Fire Department inspect my tent?
Yes.  Your fee will cover this cost.
